Position Summary

  • The Development & Marketing Associate works closely with all areas of fundraising and public relations to support the Library Director and Programming Specialist.
  • Provides administrative, marketing, and public relations support to meet the needs of library patrons and the organization.
  • Coordinates key projects related to donor development, communications, and fundraising efforts.

Distinguishing Features

  • Executes project management duties in support of marketing and communications activities.
  • Provides high-quality customer service and assistance to donors in person, by phone, and through correspondence.
  • Manages special projects as assigned and provides administrative support for development and marketing initiatives.

Job Requirements

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer (approximately 50%).
  • Ability to lift up to 50 pounds.
  • Periods of standing to lead groups, present information, and give reports (approximately 20%).
  • Ability to reach, squat, and climb (approximately 20%).

  • Valid driver’s license required.

Education and Experience
Any combination of education and experience that provides the required skills and knowledge for successful performance will be considered. Typical qualifications include:

Education

  • Bachelor’s degree in English, Public Relations, Business, Marketing, Social Work, or a related field, OR equivalent professional experience.

Experience and Qualifications

  • Proficiency with databases, Google Workspace, and Microsoft Office Suite or equivalent software.
  • Proficiency with social media platforms and WordPress.
  • Demonstrated proficiency with Canva or Adobe Express.
  • Knowledge of professional and ethical standards for fundraising.
  • Demonstrated track record of successful project management.
  • Minimum of two years of related work experience.

  • Ability to maintain confidentiality of fiscal and other sensitive information and records.
  • Ability to work effectively and collaboratively as part of a small team.
  • Friendly, courteous, and professional demeanor.
  • Willingness to engage patrons of all ages and backgrounds.

Duties and Responsibilities

Development Support (45%)

  • Support key volunteers working on development campaigns.
  • Manage administrative functions of the development program and assist with donor stewardship and cultivation activities.
  • Support volunteer committee communications, patron services, and customer service related to fundraising activities.
  • Assist in preparing funding proposals, solicitor reports, gift tables, and other materials supporting fundraising efforts, particularly for Capital Campaign and Annual Fund initiatives.
  • Assist in managing stewardship projects related to capital and annual giving, including mailings, emails, press releases, articles, agency reports, invitation lists, recognition gifts, and sponsor materials.
  • Draft written materials including correspondence, fundraising appeals, newsletter articles, and related communications.
  • Help identify and cultivate prospective donors in Corporate and Annual Giving areas.
  • Manage proofreading, distribution, and deadlines for donor listings in an accurate and timely manner.
  • Assist with fundraising and special events, including invitation management, design, production, and attendee follow-up.
  • Work collaboratively with volunteer committees, staff, and community partners as appropriate.
  • Ensure a donor-centered approach in all communications and assist with cross-departmental communication efforts.

Marketing & Public Relations (55%)

  • Meet bi-weekly with the Programming Specialist to review upcoming programs and events.
  • Prepare flyers and promotional materials for library events and programs.
  • Post flyers and announcements on social media and distribute information to schools, community organizations, elected officials, and community partners.
  • Create weekly advertisements for the local newspaper.
  • Promote library programs and events through social media, email marketing, and community outreach.
  • Design and publish a bi-weekly e-newsletter with content provided by staff members.
  • Update and maintain website content on a continual basis to highlight services, programs, and community information.
  • Prepare weekly mass emails promoting programs, services, and new collection materials.
  • Maintain and organize the library’s collection of digital photographs.
  • Communicate with program participants regarding class registrations, materials, and cancellations.
  • Provide feedback and suggestions to the Programming Specialist regarding programs and community interests.
