Essential Responsibilities and Duties:
Supervision and Management of Acquisitions Processes: Manages and supervises staff (currently 3 FTE) that acquire/license, receive/activate, and invoice library materials. Oversees the maintenance of order records in the library services platform (Alma). Works with Collection Development Librarian to complete acquisitions processes by providing financial, license, and other administrative information for purchases and continued commitments. Ensures timely follow-through on purchase, renewal, withdrawal, and cancellation decisions. Works closely with the Cataloging & Metadata Librarian to ensure bibliographic records are managed appropriately.
Management of Electronic Resources: Ensures holdings are up to date, and leverages the Alma Community Zone to manage coverage. Works with vendors to evaluate new functionality and offerings. Works closely with Systems & Discovery Librarian to maintain access and troubleshoot authentication issues related to licensing and vendor connectivity. Works with the Contracts Office to ensure vendor contracts are executed in a timely manner.
Assessment and Reporting: Creates and maintains reports for electronic resources usage, cost per use analyses, and budget trends. Loads usage records (COUNTER / SUSHI) and analyzes results. Maintains expertise in the library services platform and serves as in-house reference for workflow creation and improvements.
Budgeting: Monitors and approves bill payments; anticipates annual budget expenditures and monitors expenses for collections. Works with staff to maintain Alma budget and reconcile with the campus financial system (Workday). Creates reports around budgeting and trends. Resolves issues around accounting and payments.
Library and Campus Collaborations: Participates in library-wide services and projects, such as workshops and events. Contributes actively to the discussion and planning for all aspects of department and library services to the diverse Union community, outside library users, and visiting researchers. Contributes to, and provides leadership in, various departmental and library-wide committees and working groups.
