Head of Circulation (Principal Library Clerk)

The East Fishkill Public Library is seeking a full-time Principal Library Clerk to join our team as the Head of Circulation. This position leads a team of Clerks and Pages to efficiently carry out duties at the front desk of the library in a welcoming manner. We are looking for a responsible, genial, team-orientated individual who can join our staff in providing outstanding customer service to the patrons of the library. Interpersonal and communication skills are vital for this position as are attention to detail, patience, tact, and politeness, while still being able to uphold the rules of the library with both patrons and subordinate staff. Skill with technology and the ability to troubleshoot tech issues is essential. This position reports directly to the Assistant Director. This is a civil service provisional appointment.

Duties:

General Clerk duties- Principal Clerk has mastery level of these duties, performs them when needed, and supervises all Clerks who perform them:

  • Checks library materials in and out, places holds, and explains lending rules if needed
  • Calculates and collects fees, makes change, and issues receipts
  • Creates and updates patron records
  • Assists patrons on the telephone and routes calls properly
  • Assists patrons with copiers, faxes, computers, and simple tech questions
  • Provides assistance with patron questions particularly regarding use of the catalog and locating books in the library

Principal Clerk Duties:

  • Supervises all Clerks and Pages- (supervision includes managing time off requests, scheduling, training, discipline, work assignments etc.)
  • Reviews all patron card registrations (physical and virtual)
  • Generates and processes patron bill notifications
  • Sends monthly email to patrons with expiring cards
  • Creates lists: missing, new emails for newsletter, in transit, etc.
  • Participates in interviewing and selecting new Clerks and Pages
  • Trains new Clerks and Pages
  • Performs patron record corrections
  • Prints and sends invoices to other libraries for materials
  • Contacts other libraries for patron or material issues
  • Performs updates, basic maintenance, and troubleshooting of all front desk and patron computers and printers.
  • Participates in continuing education as assigned
  • Does related work as required

Position hours:

Monday, Wednesday, Thursday, Friday 9:00 AM to 5:00 PM

Tuesday 12:00 PM to 8:00 PM

Flexibility required for the occasional need to shift hours to accommodate emergency coverage.

Compensation:

The salary for this position is $43,000 annually, paid biweekly. Benefits include medical, dental, and vision insurance with the library paying 80% of premium, health and dependent care flexible spending accounts, TIAA 403(b) retirement with the library matching up to 8%, employee assistance program, paid time off (vacation, sick, personal), holiday pay, bereavement pay, and pay for unscheduled closings.

Civil Service Minimum Qualifications:

“EITHER: (A) Graduation from a registered college or university and one (1) year of library clerical experience; OR: (B) Graduation from a standard senior high school course and five years of library clerical experience; OR: (C) Any equivalent combination of experience and training sufficient to indicate ability to do the work.”

Preferred Qualifications:

Supervisory experience is highly preferred. Experience with Sierra software is preferred.

Note: This is a provisional civil service position. The successful candidate must meet all civil service minimum requirements and will be required to take the “Principal Library Clerk” civil service exam. The candidate must obtain a passing score and be reachable on the eligible list for permanent appointment.
